Alumni Association Subcommittees

Cascade Pacific Council Alumni Association relies on dedicated volunteers to fulfill Scouting America’s mission to prepare young people to make ethical and moral choices over their lifetime by instilling in them the values of the Scout Oath and Law.

 Cascade Pacific Council Alumni Association believes that our alumni volunteers provide the greatest resource to ensuring Scouting remains strong for future generations.

 Thank you to all our volunteers – and we invite all alumni to volunteer and share in CPC Alumni Association!

Subcommittees Goals

Our goal with the CPC Alumni Association is connection: to give you a place to stay engaged and get connected to the incredible impact Scouts, volunteers, and alumni like you have on our local communities.

For each position description, the goal is to develop a team consisting of 1 representative from each Alumni group: Young Adult Alumni (mentee), Parent-age individuals and/or Empty Nesters (mentors). The team will have representatives in touch with their respective age groups within the council and districts.  This will also enable the Young Adult Alumni have opportunities to be mentor by Parent-age individuals and Empty Nesters.  Our Young Adult Alumni are our future leaders.

Many Scouters often serve in multiple roles. The CPC Alumni Association, along with our affiliate groups including the CPC NESA, CPC SBAA, and various council Camp Alumni Association groups, advocate for focusing on a single role. This approach ensures the most positive outcomes for the Alumni Association, our other affiliate groups and provides opportunities for greater individual involvement. Our aim is to achieve success without causing burnout among our volunteers by overburdening them with multiple responsibilities. However, if volunteers want to serve on multiple alumni association committees, they are welcome, but we would encourage them to review their other Scouting commitments.

Affiliate Group Subcommittee

Position Title: CPC Alumni Association Affiliate Group Subcommittee

Position Description: The Affiliate Group Subcommittee will develop a team consisting of 1 representative from each Alumni group: Young Adult Alumni (mentee), Parent-aged individual and/or Empty Nester (mentors) to identify and recruit those persons needed to lead the Affiliate Groups, CPC NESA, CPC SBAA and CPC Camp Alumni Association.

Deliverables: To help lead, coordinate and support the Affiliate Groups, CPC NESA, CPC SBAA and CPC Camp Alumni Association. 

Timeframe: 1 year commitment with a potential extension of 2 years, 3 years total.

Qualifications & Requirements:

  • Those individuals who are chairs should be registered with Scouting America
    • Updated Youth Protection Training

Duties and Responsibilities:

  • Recruit 2-4 volunteers, which should include young adults, parents and empty nesters, to the Affiliate Group subcommittee.
  • Gather information on the other Scouting Affiliate and Affinity Groups.
  • Assist in recruiting volunteers to each of the Affiliate Groups, CPC NESA, CPC SBAA and Camp Alumni Association, if necessary.
  • Build a quarterly roundtable-like meeting to communicate with the Affiliate Groups, CPC NESA, CPC SBAA and CPC Camp Alumni Association.
    • Communicate any local alumni meetings and/or events.
  • Attend CPC Alumni Association / CPC NESA adventures/engagement events to recruit new members to the program.
  • Promote camp association, CPC Alumni Association / CPC NESA activities to all communities inside and outside of Scouting.
  • Create avenues for cross promotion between the other Scouting Affiliate Groups.
  • Should be consistent with Council and National policies.

Time commitment (projected):

  • One-to-two-hour monthly and/or quarterly meetings, either by a Zoom call, face to face or both, depending on the needs of the subcommittee.
    • Meeting may or may not be with a professional staff member.
  • Ongoing communication with the CPC Alumni Association Chair.

Organizational Relationship: The Affinity Group Subcommittee reports to the volunteer CPC Alumni Association Chair and works cooperatively with the Council Advisor (full time professional Scouter).

Please Note: There will be cases in which our volunteer teams will need to take a bigger share of the workload for administrative tasks, and there will be instances where no staff advisor will be assigned to an event or committee.  The Cascade Pacific Council’s Board, Senior Leadership Team, and Officers will be working with each other to make these determinations and ensure that communication about these changes is clear and timely.

NESA Committee

Position Title: CPC National Eagle Scout Association (NESA) Committee

Position Description: The CPC NESA Committee will develop a team consisting of 1 representative from each Alumni group: Young Adult Alumni (mentee), Parent-aged individual and/or Empty Nester (mentors) who are NESA members to identify and recruit individuals in running and developing social, networking and recognition events for the NESA programs. 

Deliverables: The CPC NESA Committee will identify and recruit individuals in running and developing social, networking and recognition events for the NESA programs. 

Timeframe: 1 year commitment with a potential extension of 2 years, 3 years total.

Qualifications & Requirements:

  • Those individuals who are chairs should be registered with Scouting America
    • Updated Youth Protection Training
  • Needs to be an active or lifetime member of NESA (https://nesa.org/take-action/join-us/)

Duties and Responsibilities:

  • Recruit 2-4 volunteers, who are active or lifetime NESA members to the committee.
  • Assist the CPC Alumni Association Adventures / Events Subcommittee in promoting and conductingCPC Alumni Association / CPC NESA activities for the council and district levels. Activities could include, adventures, social, networking and recognition events.
    • If any event has a structured speaker this should include a youth speaker as well.
  • Assist in conducting an annual survey of Eagle Scouts to determine their wishes for adventures/events.
  • Attend CPC Alumni Association / CPC NESA adventure/engagement events to recruit new members to the program.
  • Distribute CPC Alumni Association / CPC NESA marketing materials at a public event to Eagle Scouts, alumni and learn about their Scouting experiences.
  • Promote CPC Alumni Association / CPC NESA activities to all communities inside and outside of Scouting.
  • Should be consistent with Council and National policies.

Time commitment (projected):

  • One-to-two-hour monthly and/or quarterly meetings, either by a Zoom call, face to face or both, depending on the needs of the subcommittee.
    • Meeting may or may not be with a professional staff member.
  • Ongoing communication with the Affiliate Group Subcommittee and the volunteer CPC Alumni Association Chair.

Silver Beaver Alumni Association Committee

Position Title: CPC Silver Beaver Alumni Association Committee

Position Description: The Silver Beaver Alumni Association Committee will develop a team consisting of 1 representative from each Alumni group: Young Adult Alumni (mentee), Parent-aged individual and/or Empty Nester (mentors) to identify and recruit individuals in running and developing social, networking and recognition events for the SBAA committee, Council Alumni Association and CPC NESA programs. 

Deliverables: The SBAA will develop programs and recruit individuals in running and developing social, networking and recognition events for the SBAA. 

Timeframe: 1 year commitment with a potential extension of 2 years, 3 years total.

Qualifications & Requirements:

  • Those individuals who are chairs should be registered with Scouting America

  • Be a Silver Beaver

    • If any event has a structured speaker this should include a youth speaker as well.
  • Assist in conducting an annual survey of SBAA to determine their wishes for adventures/events.
  • Attend council SBAA, CPC Alumni Association / CPC NESA adventure/engagement events to recruit new members to the program.
  • Distribute SBAA, CPC Alumni Association / CPC NESA marketing materials at a public event to alumni and learn about their Scouting experiences.
  • Promote SBAA, CPC Alumni Association / CPC NESA activities to all communities inside and outside of Scouting.
  • Should be consistent with Council and National policies.

Position Description: The Camp Alumni Association Committee will develop a team consisting of 1 representative from each Alumni group: Young Adult Alumni (mentee), Parent-aged individual and/or Empty Nester (mentors) to identify and recruit individuals to assist each of CPC Camp Alumni Associations, CPC Alumni Association and CPC NESA.

Deliverables: To identify and recruit individuals in running and developing social, networking and recognition events for Camp Alumni Associations, CPC Alumni Association / CPC NESA programs. 

Timeframe: 1 year commitment with a potential extension of 2 years, 3 years total.

  • Recruit 4-6 volunteers, which should include young adults, parents and empty nesters, to the Camp Alumni Association committee.
  • Recruit two individuals’ representatives for each Camp Alumni Associations in the council, which should include young adults, parents and empty nesters.
  • Create avenues for cross promotion between all Camp Alumni Associations and CPC Alumni Association / CPC NESA programs.
  • Distribute Camp Alumni Associations, CPC Alumni Association / CPC NESA marketing materials at a public event to alumni and learn about their Scouting experiences.
  • Promote Camp Alumni Associations, CPC Alumni Association / CPC NESA activities to all communities inside and outside of Scouting.
  • Should be consistent with Council and National policies.

Time commitment (projected):

  • One-to-two-hour monthly/quarterly meetings, either by a Zoom call, face to face or both, depending on the activity and the needs of the subcommittee.
    • Meetings may or may not be with a professional staff member.
  • Ongoing communication with the Affiliate Group Subcommittee and/or volunteer CPC Alumni Association Chair.

Organizational Relationship: The Camp Alumni Association Committees reports to the volunteer Affinity Group Subcommittee and to the volunteer CPC Alumni Association Chair and works cooperatively with the Council Advisor (full time professional Scouter).

Position description: The Adventures / Events Subcommittee should consist of a Young Adult Alumni (mentee), Parent and/or Empty Nestor (mentors) to identify and recruit individuals in running and developing social, networking and recognition events for the CPC Alumni Association and CPC NESA programs. 

Deliverables: To identify and recruit qualified individuals to help lead these adventures / events for the CPC Alumni Association / CPC NESA programs.

Timeframe: 1 year commitment with a potential extension of 2 years, 3 years total.

Qualifications & Requirements:

  • Those individuals who are chairs should be registered with Scouting America
    • Updated Youth Protection Training

  • Plan, promote and conduct CPC Alumni Association / CPC NESA activities for the council and district levels. Activities could include, adventures, social, networking and recognition events.
    • If any event has a structured speaker this should include a youth speaker as well.
  • Create and build an annual adventures/event council and district low-commitment calendar for CPC Alumni Association / CPC NESA members to attend and network with one another.
    • Use small, low-cost events to reach out to alumni who are otherwise not engaged.
  • Conduct an annual survey of alumni to determine council and district wishes for adventures/events.
  • Recruiting volunteers for these activities.
  • Attend CPC Alumni Association / CPC NESA adventure / engagement events to recruit new members to the program.
  • Distribute CPC Alumni Association / CPC NESA marketing materials at a public event to alumni and learn about their Scouting experiences.
  • Promote CPC Alumni Association / CPC NESA activities to all communities inside and outside of Scouting.
  • Should be consistent with Council and National policies.

Position Description: The Awards and Recognition Subcommittee will develop a team consisting of 1 representative from each Alumni group: Young Adult Alumni (mentee), Parent-aged individual and/or Empty Nester (mentors) to identify and recognize individuals with awards for leadership, service and distinctive professional accomplishments within the Scouting America Alumni and National Eagle Scout Association (NESA).  

Deliverables: To identify and recognize individuals with awards for leadership, service and distinctive professional accomplishments within the CPC Alumni Association / CPC NESA. 

Timeframe: 1 year commitment with a potential extension of 2 years, 3 years total.

Qualifications & Requirements:

  • Those individuals who are chairs should be registered with Scouting America

Duties and Responsibilities:

  • Recruit 2-4 volunteers, which should include young adults, parents and empty nesters, to the Awards and Recognition committee.
  • Working with the CPC Alumni Association / CPC NESA co-chair(s), determine a selection process for the awards.
  • Assist the numerator in filling out the paperwork for the awards.
  • With assistance from the CPC Alumni Association / CPC NESA co-chair(s), promote, identify and recognize individuals with awards for leadership, service and distinctive professional accomplishments within the CPC Alumni Association / CPC NESA.
  • Alumni awards to be considered would be the Alumni Knot, Alumnus of the Year, Council Distinguished Alumnus, Distinguished and Outstanding Council Alumni Committee awards, Scouting Alumni Service Commemoration (https://scoutingalumni.org/awards-and-recognition/) .
  • NESA awards such as the NESA Outstanding Eagle Scout Award, the NESA Distinguished Eagle Scout Award, and the NESA Distinguished Service Award.  Donors are recognized via the NESA Legacy Society (https://nesa.org/awards-and-recognition/).
  • Attend CPC Alumni Association / CPC NESA adventures/engagement events to recruit new members to the program.
  • Encourage the use of the Scouting America Service Commemoration (https://scoutingalumni.org/awards-and-recognition/scouting-alumni-service-commemoration/).
  • Promote CPC Alumni Association / CPC NESA activities to all communities inside and outside of Scouting.
  • Should be consistent with Council and National policies.

 Time commitment (projected):

  • Time commitment will vary depending on the awards.
    • Meetings may or may not be with a professional staff member.
  • Ongoing communication with the volunteer CPC Alumni Association Chair / CPC NESA Chair.

Council Alumni Association Chair

Position title: CPC Alumni Association Chair

Position description: The CPC Alumni Association Chair serves as a member of the council executive board.  The CPC Alumni Association Chair leads the efforts of the council Alumni committee.

Deliverables: The CPC Alumni Association Chair is to develop a comprehensive transformation to boost engagement, increase membership, and enhance philanthropic giving.

 Timeframe: 1 year commitment with a potential extension of 2 years, 3 years total.

 Duties and Responsibilities:

  • Recruit, appoint and provide coaching and guidance to the members of the committee and the subcommittee co-chairs.
  • Assist the subcommittee co-chairs in identify key volunteers to become members for each committee.
  • Build a well-developed annual plan of action.
  • Plan, organize and lead regular meetings of the CPC Alumni Committee.
    • Establish an agenda in advance of each meeting, take and maintain minutes of all meetings of the committee.
  • Develop and support the formation of scouting-related “Affiliate” alumni groups within the Council.
  • Work with and support the efforts of the CPC NESA Committee Chair serving on the CPC Alumni Committee as a liaison between CPC Alumni Association and CPC NESA committees.
  • Establish methods of outreach and communication with these alumni to re-engage them with the scouting movement and the events and activities of the Council.
  • Attend CPC Alumni Association / CPC NESA adventure/engagement events to recruit new members to the program.
  • Assist in conducting an annual survey of alumni to determine district wishes for adventures/events.
  • Promote awareness and use of the national alumni database called the “SPARK”
  • Assist the adventures/events subcommittee in promoting and conduct CPC Alumni Association / CPCNESA activities for the council and district levels. Activities could include, adventures, social, networking and recognition events.
    • If any event has a structured speaker this should include a youth specker as well.
  • Should be consistent with Council and National policies.

       Time commitment (projected):

      • One-to-two-hour monthly and/or quarterly meetings, either by a Zoom call, face to face or both, depending on the needs of the council committee.
        • Meeting may or may not be with a professional staff member.
      • Ongoing communication with current CPC subcommitteess and CPC affiliate groups.

       Organizational Relationship: The CPC Alumni Association Chair reports directly to the CPC President and works cooperatively with the Council Advisor (full time professional Scouter).

      Please Note: There will be cases in which our volunteer teams will need to take a bigger share of the workload for administrative tasks, and there will be instances where no staff advisor will be assigned to an event or committee.  The Cascade Pacific Council’s Board, Senior Leadership Team, and Officers will be working with each other to make these determinations and ensure that communication about these changes is clear and timely.

      District Coordinators Subcommittee

      Position title: CPC Alumni Association District Coordinator Subcommittee

      Position description: The District Coordinators Subcommittee will consist of an Empty Nestor and/or Parents (mentors) and a Young Adult Alumni (mentee) to identify and recruit individuals to serve as contact point for the districts.  Each district should have a contact point for the CPC Alumni Association / CPC NESA. 

      Deliverables: To identify districts alumni association coordinators for the CPC’s Alumni Association / CPC NESA alumni program. 

      Timeframe: 1 year commitment with a potential extension of 2 years, 3 years total.

      Qualifications & Requirements:

        • If any event has a structured speaker this should include a youth speaker as well.
      • Assist in conducting an annual survey of alumni to determine district wishes for adventures/events.
      • Attend CPC Alumni Association / CPC NESA adventure/engagement events to recruit new members to the program.
      • Distribute CPC Alumni Association / CPC NESA marketing materials at a public event to alumni and learn about their Scouting experiences.

      Position Title: CPC Alumni Association District Alumni Coordinators Subcommittee

      Position Description: The District Coordinator will be a communications liaison with the CPC Alumni Association Committee. The District Alumni Coordinator will develop a team consisting of 1 representative from each Alumni group: Young Adult Alumni (mentee), Parent-aged individual and/or Empty Nester (mentors). The team will be the local representatives in touch with their respective age groups at the District level.

      Deliverables: The District Coordinator will work with their team to increase alumni membership & engagement and promote CPC Alumni Association events and opportunities to the District Key 3 and membership. (e.g. providing Roundtable and email newsletter updates).

      Timeframe: 1 year commitment with a potential extension of 2 years, 3 years total.

      Qualifications & Requirements:

      • Those individuals who are chairs should be registered with Scouting America
        • Updated Youth Protection Training

      • Currently or recently involved at the District level
      • Holds no other leadership positions* (i.e. Scoutmaster, District Training Chair, etc.)

      • Recruit 3 volunteers, which should include young adults, parents and empty nesters, to the CPC District Alumni / CPC NESA committee.
      • Assist the CPC Alumni Association Adventures / Events Subcommittee in promoting and conductingCPC Alumni Association / CPC NESA activities for the council and district levels. Activities could include, adventures, social, networking and recognition events.
        • If any event has a structured speaker this should include a youth speaker as well.
      • Assist in conducting an annual survey of district alumni to determine district wishes for adventures/events.
      • Attend district/council alumni / CPC NESA adventure/engagement events to recruit new members to the program.
      • Distribute CPC Alumni Association / CPC NESA marketing materials at a public event to CPC Alumni Association / CPC NESA members and learn about their Scouting experiences.
      • Promote district/council Alumni / NESA activities to all communities inside and outside of Scouting.
      • Should be consistent with Council and National policies.

      Organizational Relationship: The District Alumni Coordinators reports to the District Alumni Subcommittee and/or to the volunteer CPC Alumni Association Chair and works cooperatively with the Council Advisor (full time professional Scouter).

      Please Note: There will be cases in which our volunteer teams will need to take a bigger share of the workload for administrative tasks, and there will be instances where no staff advisor will be assigned to an event or committee.  The Cascade Pacific Council’s Board, Senior Leadership Team, and Officers will be working with each other to make these determinations and ensure that communication about these changes is clear and timely.

      Membership Subcommittee

      Position Title: CPC Alumni Association Membership Subcommittee

      Position Description: The CPC Alumni Association Membership Subcommittees are three-fold:

      1. Young Alumni (typically age 18-30)
      2. Parent Aged (typically age 30-50)
      3. Mentor Alumni (typically age 50+)

       Co-Chairs for the three Subcommittees will develop a team consisting of 1 representative from each Alumni group: Young Adult Alumni (mentee), Parent-aged individual and/or Empty Nester (mentors) to identify, recruit, and build alumni and CPC NESA members for their respective group/category to ensure steady, balanced, Alumni membership growth in each age group/category throughout the council.

      Deliverables: Identify, recruit, build CPC Alumni Association / CPC NESA membership to ensure steady, balanced, CPC Alumni membership growth throughout the council.

      Timeframe: 1 year commitment with a potential extension of 2 years, 3 years total.

      Qualifications & Requirements:

      • Those individuals who are chairs should be registered with Scouting America

      Duties and Responsibilities:

      • Recruit 6-10 volunteers to fulfill their respective committees
      • Develop a 3–5-year plan to achieve the annual CPC Alumni Association / CPC NESA membership growth goals.
      • Attend CPC Alumni Association / CPC NESA adventures and social events to recruit new members to the program.
      • Engage organizations that are likely to have Scouting alumni in their ranks to join the council in your search for alumni. This could involve approaching civic organizations, local companies, and professional associations.
      • Encourage alumni to join the Scouting America Alumni Association and keep their profile up to date.
      • Stay in close contact with the CPC Alumni Association Adventures / Events Subcommittee to ensure that opportunities to participate in activities (often an incentive to sign up) are effectively communicated and synchronized with the overall strategy.
      • Promote CPC Alumni Association / CPC NESA activities to all communities inside and outside of Scouting.
      • Distribute CPC Alumni Association / CPC NESA marketing materials to alumni and learn about their Scouting experiences.
      • Develop and expand relationships between the council and districts.
      • Should be consistent with Council and National policies.

        • If any event has a structured speaker this should include a youth speaker as well.
      • Assist in conducting an annual survey of alumni to determine council wishes for adventures/events.
      • Distribute CPC Alumni Association / CPC NESA marketing materials at a public event to alumni and learn about their Scouting experiences.
      • Promote CPC Alumni Association / CPC NESA activities to all communities inside and outside of Scouting.
      • Should be consistent with Council and National policies.

      Position Description: The Marketing and Communication will develop a team consisting of 1 representative from each Alumni group: Young Adult Alumni (mentee), Parent-aged individual and/or Empty Nester (mentors). in conveying the benefits of Scouting to the Council Alumni, CPC NESA, the Scouting family and the public. The marketing and communication program should create and maintain a climate of support and understanding that will assist the council in achieving its objectives.

      Deliverables: The marketing and communication program should create and maintain a climate of support and understanding that will assist the council in achieving its objectives.

      Timeframe: 1 year commitment with a potential extension of 2 years, 3 years total.

      • Work with the council staff to develop and implement a marketing/communication plan of all CPC Alumni Association / CPC NESA events and communications opportunities to reach target audiences.
      • Develop marketing/communication opportunities, both internal and external, to provide public recognition of volunteers with a particular emphasis on CPC Alumni Association / CPC NESA individuals.
      • Serve as a resource for all internal printed material.
      • Assist, build and maintain the CPC Alumni Association / CPC NESA database.
        • Provide reports from the database when necessary.
      • Assist in providing update information on the council website for the CPC Alumni Association / CPC NESA and other affinity groups.
      • Promote CPC Alumni Association / CPC NESA activities to all communities inside and outside of Scouting.
      • Should be consistent with Council and National policies.
