How Event Promotion Works

District & Council Event Promotion

Here’s our standard event marketing cadence for approved District & Council events and activities:

  • Prior to requesting event promotion, your event MUST be approved by your Staff Advisor.
  • If you are conducting an overnight event, you must fill out and submit the “NCAP Short-Term Authorization & Assessment Declaration” form and send to Carrie Hutchcraft at carrie.hutchcraft@scouting.org at least 90 days prior to the event.
    • Events on Council Property: please contact your staff advisor to check availability and scheduling.
    • Events Not on Council Property: If your event is not on council property, you mustfill out this form .
  • You will then submit your event via the button below at least two weeks prior to the registration open date.
  • Once event is submitted: “Save the Date” added to Compass Points email newsletter.
  • Once registration opens: “Registration Now Open” message posted on Facebook as Event. Event web page is created or updated. Event promoted as News item in Compass points. Event-specific email is created and sent to the CPC Member Database and can be targeted to unit types, districts, etc.
  • The following event promotion cadence is typical but subject to change based on other events and activities that also need promotion:
    • One Month Out: reminder email sent & Facebook/Instagram reminder posted.
    • Two Weeks Out: reminder email sent & Facebook/Instagram reminder posted.
    • One Week Out: reminder email sent & Facebook/Instagram reminder posted.
    • Optional: “Last chance! Registration Deadline is Tomorrow” message delivered, if needed. (i.e event isn’t full).
    • NEW: promote your event on the CPC Scouting Expedition podcast! Check it out here and schedule an interview time here. Chris will follow up with you. PRO TIP: bring up to 3 guests who can have a discussion about “why” people should attend your event.
    • During/After Event: social media posts may be created. Text your images to our Marketing Director, Chris Bartell, at (971)337-5922
